Your email settings for any mail app

The six things every mail app asks for, what each one means, and the two that are usually wrong when a setup fails.

Every mail app asks for the same six things, in different words. Here is what each one means, so you can fill in an app we have not written steps for.

Where your settings are. In the dashboard open Email, find the mailbox, and press Set up on a device. That panel shows the exact server names, ports and username for that mailbox, with a copy button beside each one.

⛔ Those names are not the same for every account — a reseller who sells our email under their own brand has their own — so use the ones on your panel rather than any you find in a forum or an old ticket. A name that is nearly right does not produce an error message; the mail app just sits there saying it cannot connect.

Choose IMAP, not POP. IMAP keeps the mailbox in step everywhere — read a message on your laptop and it is read on your phone too. POP downloads mail to one device and, on most default settings, removes it from the server, so the next device you set up finds an empty mailbox and the mail is only on whichever machine collected it first.

The two that are usually wrong

The username. Many apps pre-fill only the part before the @. Ours needs the whole address, on the outgoing server as well as the incoming one. The error this produces says your password is wrong, which sends people to reset a password that was never the problem.

The encryption. The incoming and outgoing servers do not use the same kind, and the two are not interchangeable. Picking the wrong one does not produce an error — the app waits, and then says it cannot connect. Use exactly what is shown beside each port on your panel.

Before you conclude the mailbox is broken

Press Webmail next to the mailbox in the dashboard. If your mail is there, the mailbox and the password are both fine and the problem is a setting in the app.
